1 Before you cancel

Before cancelling, consider:

  • Export your data: Download your Q&A pairs and chatbot configurations
  • Check usage: Review your current billing period and any unused credits
  • Alternative options: Consider downgrading your plan instead of cancelling

What you'll lose access to:

  • All chatbot widgets will stop working on your websites
  • Q&A pairs and knowledge base data will be retained for 30 days
  • Analytics and conversation history

2 Navigate to billing settings

  1. Log in to your SoundMinds.ai console at console.soundminds.ai
  2. Click on your profile or settings menu
  3. Navigate to Settings > Billing or Billing & Subscription
  4. Look for the "Cancel Subscription" or "Manage Subscription" option

3 Review cancellation preview

Before confirming, you'll see a cancellation preview showing:

For Trial Subscriptions:

  • Your subscription will be cancelled immediately
  • All chatbots will be disabled right away
  • Message: "Your subscription will be cancelled immediately and all chatbots will be disabled."

For Paid Subscriptions:

  • Your subscription remains active until the end of your billing period
  • Chatbots continue working until the period ends
  • The effective cancellation date (end of current billing period)
  • Message: "Your subscription will remain active until the end of the current billing period. Your chatbots will continue working until then."

Important: Trial cancellations take effect immediately. If you're on a trial and cancel, your chatbots will stop working right away.

4 Confirm cancellation

To complete the cancellation:

  1. Review the cancellation preview information
  2. Optionally provide a reason for cancelling (helps us improve)
  3. Check the confirmation checkbox or click "Confirm Cancellation"
  4. You'll see a confirmation message with:
    • Whether cancellation was immediate or scheduled
    • The effective date
    • Number of chatbots that will be/were disabled

5 What happens after cancellation

Immediately after cancellation (Trial):

  • All chatbots are disabled
  • Widget embed codes stop working
  • You retain read-only access to your data

At end of billing period (Paid):

  • Chatbots remain active until the period ends
  • After the period ends, chatbots are disabled
  • Your account tier changes to "Cancelled"
  • LLM access is paused
  • Budget is set to $0

Data retention:

  • Q&A pairs and configurations are retained for 30 days
  • You can reactivate within 30 days to restore your data
  • After 30 days, data may be permanently deleted

6 Reactivating your subscription

If you change your mind:

  1. Log back into your console
  2. Go to Settings > Billing
  3. Click "Reactivate Subscription" or "Subscribe Again"
  4. Choose your plan and complete payment
  5. Your chatbots will be re-enabled
  6. Previous data (if within 30-day window) will be restored

Tip: If you're within your original billing period and had a paid subscription cancelled at period end, you may be able to reactivate without losing any service time.
